From event setup to review

How Plus1Mee works, step by step

Create an event with a fixed capacity, collect guests, divide the work and use the same event data at the door and during your review.

The complete flow

One event, six clear stages

Preparation, invitations, team access, check-in and insights stay with the same event, so each stage does not require a new list.

In practice

One workflow from preparation to evaluation

Plus1Mee connects the work behind the scenes with the welcome at the door and the insights afterwards.

Guests gathering at a social event

01 · Prepare

Venue, capacity, guests and crew are kept in the same event before opening.

Someone opens an invitation link with a QR code on a smartphone

02 · Invite

You can copy an invitation link, share it as a QR code or open a share action on your own device.

An organiser reviewing statistics on a laptop

03 · Improve

Attendance, peak times and sources become useful input for your next edition.

The day-to-day workflow

What the organiser does before, during and after the event

Start small with a draft event. Then add only what your guest flow needs. The in-app checklist always shows which essentials are still missing.

1

Set up the basics properly once

Name and maximum capacity are required. You can add the date, venue and description immediately or complete them later. Before creation, Plus1Mee calculates how many credits the exact capacity requires and what balance will remain.

  • A 750-guest event keeps an exact limit of 750 and uses 5 credits
  • Move deliberately from draft to open, then complete the event when you are ready
  • Increase capacity later using only the additional credits required
2

Build the guest list your way

Expecting twenty friends, a list from a client or guests from multiple promoters? Add names yourself, import a spreadsheet or share your own registration link.

Bulk import

3

Give guests a smooth welcome

When the doors open, you need speed. Mobile check-in lets your crew search, confirm the correct number of people and register guests without first having to understand the entire management system.

  • Search by name or email

Find the right guest without paging through a separate list.

  • Confirm the number of people

See immediately whether a plus-one is allowed before checking in.

  • Register plus-ones

Process permitted additional guests without opening a separate list.

4

Adjust using up-to-date information

While the event is running, see what is really happening: how many people are inside, how many are still expected and whether you are approaching capacity.

  • Track check-ins and attendance while your team keeps working
  • Identify capacity risks before they become a problem
  • Complete the event manually and compare its anonymous results later in Insights

Invitation links explained

One guest list, multiple measurable entry points

Give a promoter, campaign or physical QR code a recognisable link of its own. Every registration enters the same event while clicks, responses and conversion remain separate for each link.

  1. 1

Set the rules for each link

Choose an active period, registration limit, plus-one, automatic approval or manual review. A waiting list can be used once event capacity is full.

  2. 2

Share through the channel that already works

Copy the URL, download the QR code or open a share action for the social channel you want to use.

  3. 3

    Measure clicks and registrations

For each link, review how often it was opened, how many registrations it produced and the resulting registration rate.

You remain in control of the message: Plus1Mee does not email your guests. The app copies the link, creates a QR code or opens a share action on your device. You review and send or publish the message yourself.

Roles and temporary access

An individual login for everyone. No unnecessary access.

The workspace owner creates team accounts. For each event, choose one of four roles and an optional start or expiry time. The team member signs in with a username or email address and sees only assigned, active events.

  1. 1

    Create account

Name, unique username and optionally phone or email.

  2. 2

    Choose event and role

One account can have a different role or expiry date for each event.

  3. 3

    Share link privately

Share the one-time activation link yourself through WhatsApp or SMS.

  4. 4

    Work with focus

After login, only assigned events and actions are shown.

What can each role do?

These are the standard permissions. Access can also have a start and expiry time.

Numbers with context

Understand what happened during your event

Insights brings together the current guest list, check-ins, invitation links and previous events. Its attendance forecast is an estimate, not a guarantee.

How busy is it likely to get?

A range based on your list, invitations and relevant previous events. Your maximum capacity remains the limit.

When will the entrance be busiest?

The timeline shows the actual peak so you can plan entrances and staffing more effectively.

Which invitation link produces responses?

Compare clicks, registrations and registration conversion for each link.

Which edition performed better?

Compare events or venues by attendance, no-shows, plus-ones and capacity.

Foundation & reuse

Organise events

Build a reliable foundation first and reuse it for the next edition.

  • Dashboard and event checklist
  • Exact hard capacity with a visible credit balance
  • Saved venues and reusable event templates
  • A new or duplicated event uses credits again
  • Increase capacity later using only the credit difference

Example: An event with 50 guests uses 1 credit. Increasing to 250 costs 2 additional credits.

Names & lists

Manage guests

Work with one current list, even when names arrive from multiple sources.

  • Add manually or import a file
  • VIP, crew, press and custom lists
  • Plus-ones, notes and labels
  • Bulk move, approve or edit guests
  • Find and merge possible duplicates

Example: Import your client’s business contacts, then manually add the individual names received through WhatsApp.

Campaigns & promoters

Send invitation links

Create different routes into the same guest list and measure what each source delivers.

  • Start and expiry dates or pause a link temporarily
  • Registration limit and plus-one setting for each link
  • Approve automatically or review first
  • Waiting list when event capacity is full
  • QR code, promoter, clicks and registration conversion
  • Copy, download or open a share action on your own device

Example: Give each promoter their own link and compare clicks, registrations and registration conversion.

Crew & access

Collaborate without a shared login

Everyone receives their own account and access only to the work that belongs to their role.

  • Manager, promoter and door staff
  • Read-only access for observers
  • Temporary access with an expiry time
  • Individual team accounts for each role
  • Searchable guide for every task
  • Overview of entry devices and entrances
  • Audit history for each team member

Example: Give door staff access only to search and check in, while the manager handles event details, guests and invitation links. Only the organiser spends credits.

Doors open

Check guests in quickly

The door view keeps actions simple. Offline check-ins are synchronised with the event after connectivity returns.

  • Search by name or email
  • Confirm the number of people and plus-one
  • Add someone at the door
  • Synchronise offline check-ins later
  • Record re-entry without counting twice
  • Reset an incorrect check-in with a reason

Example: If coverage at the south entrance drops, the queue remains stored locally and synchronises when the connection returns.

Results & privacy

Learn from every edition

Use the figures for your next plan without retaining personal data indefinitely.

  • Current check-ins, timeline and capacity
  • Sources, guest lists, link clicks and registration conversion
  • Compare events and venues side by side
  • Manual completion with a fixed anonymous final result
  • Delete personal data 30 days after completion
  • Public deletion request and permanently anonymous results

Example: Compare two editions at the same venue and use the peak time and the gap between registrations and attendance for your next staffing plan.
